Many people believe that Microsoft automatically backs up all their
data. It doesn’t! Microsoft manages the Office365 infrastructure
and ensures that all their systems are available.
Microsoft does not back up your Exchange mailbox or your
SharePoint and OneDrive data.
So you need to make sure that all your company's Office 365 data
is backed up regularly, and stored safely with ready access to it
if needed.
The availability of an up-to-date backup will resolve all these
situations.
1. Deleting a user by mistake
It’s easy to do, but that deletion will be replicated across
your network. All the user’s personal SharePoint site and
OneDrive data will also be deleted.
2. Confusion over Retention policies
Office 365 has very limited retention policies so you need to
take responsibility for retaining critical data so that you don’t
lose key data.
3. Internal Security threats - staff members
Microsoft has no way of knowing the difference between a regular
user and a disgruntled employee deleting critical company data
before they depart.
4. External security threats
External threats to your data security can sneak in through emails
and attachments. Education is not always enough. Some infected
messages seem very authentic and in an unguarded moment it is
easy for an employee to click on something they shouldn't. Malware,
viruses and ransomware continue to do serious damage to businesses.
5. Legal and compliance requirements
Sometimes you need to retrieve emails, files or other types of
data for legal or compliance reasons. You may think this will
never happen to you but you cannot be sure. Legal and Compliance
requirements and access regulations vary between industries and
countries, but fines, penalties and legal disputes are three things
you do not want to have to deal with.
